Equipment Checkout Policies

The Purpose of the Equipment Checkout Room (ECOR) is to provide departmental audio-visual, film, and recording equipment to the students, faculty, and staff of the Department of Communication on a timely basis.

Access to equipment will be authorized only after:

  • This Equipment Usage Contract is completed, and
  • Course instructors have submitted a roster to MAS staff for review.

Equipment Usage Procedure:

  • Equipment reservations must be made in advance at https://connect2.oasis.unc.edu/ and are time sensitive.
  • During the week, equipment can be booked for up to 48 hours. Over the weekend, gear can be kept for up to 72 hours.

Equipment Checkout

  • Reservations must be made before midnight prior to day of checkout.
  • Pick-ups missed by more than 30 minutes will result in cancellation of booking and Violation.
  • Returns missed by more than 30 minutes will result in Violation and require immediate correspondence to the MAS Director or Media Tech. If no contact is made within 24 hours, MAS Staff will contact the authorities.
  • OneCard is required at checkout.
  • If equipment is lost or damaged while in a student’s possession, the student must notify the Director or Media Tech prior to return, by emailing equipment@unc.edu or calling (919) 962-0455. Failure to report loss or damage to equipment will result in Violation.

Room Reservation

  • Room reservations be made 24 hours in advance.
  • Reservations for weekends or breaks must be made by noon on the last business day before the weekend or break.

Violation System:

Rather than fining students for equipment-related infractions, MAS operates on a Violation System. This system is three-tiered, with the consequences of infractions escalating at each tier.

A 24-hour Warning Lockout will be given upon the first minor offense.

A First-Level Violation is a minor offense and results in a week-long equipment lockout. Your instructor will be notified.

A Second-Level Violation is a considerable or repeated offense and results in a two-week equipment lockout. Your instructor will be notified.

A Third-Level Violation is a serious offense and will result in expulsion from MAS and a detailed of the event(s) to your instructor and the department chair.

Violations include, but are not limited to:

  • Late return of equipment
  • Failure to appear for reserved equipment
  • Failure to properly care for equipment while checked out
  • Return or checkout of equipment outside of posted hours
  • Leaving equipment unattended in MAS (or anywhere!), especially outside the Checkout Room
  • Intentional or extremely negligent destruction of equipment
  • Any disrespectful, disruptive, or inappropriate behavior
